Payment, Financial Aid, Refund and Discount Policy
(Effective for the 2025 League Season)
Payment
Registration for all programs must be done through the SPYBAS website. Payments are due in full at the time they are invoiced. Payments can be made electronically via credit/debit card.
All outstanding balances must be paid prior to the start of the program. Unpaid balances may impact eligibility for future programs.

Financial Aid
SPYBAS strives to provide an affordable program experience for all participants. We realize the financial commitment is great and we are committed to working with our families to be sure every child can enjoy playing baseball or softball with our organization. Financial Aid is applicable to program registration fees only. Additional costs including uniforms, transportation to/from team events and other incidental costs associated with participation are not eligible. Families should consider the possibility of these extra costs when registering. In an effort to provide equitable access to athletes who want to participate, we offer the following options:
Partial Scholarship: Partial Scholarships are available for our players who are eligible for free and reduced lunch through their school district. Documentation from the School District must be provided. Our Partial Scholarship program offers 50% off the total registration fee. Scholarships are applied towards the registration fee and families are responsible for the remaining balance either paid in full at registration or on installment plans.
Full Scholarship: Full Scholarships are available in extreme circumstances for our players eligible for free and reduced lunch and who are experiencing additional financial hardship. Documentation from the School District must be provided. If your family is in need of comprehensive financial assistance, please contact spyouthbbsb@gmail.com.
Program Fee Refunds
Refund requests for program fees must be submitted in writing, via email, to spyouthbbsb@gmail.com and will be granted on a case by case basis according the the following guidelines:
General Refund
Prior to the close of registration = 100% less transaction fees
After team assignment/acceptance but before the first scheduled practice = 50% less actual costs incurred (uniforms, etc).
After the first scheduled practice = 0%
Injured Player Refund
Minor injuries or illness lasting days or weeks = 0%
Season Ending (Doctor Restriction) = % refund equivalent to % of events remaining
Refunds must be accompanied by written verification from an athlete’s medical doctor confirming they are unable to train or play. Written verification must be submitted to the coach and SPYBAS (spyouthbbsb@gmail.com)
Emergency/Extreme Circumstance Refund
In the event of a catastrophic emergency or extreme circumstance, contact spyouthbbsb@gmail.com to request a full or partial refund of fees. These one-off situations will be evaluated on a case by case basis and a determination will be made by Executive Committee vote.
Discounted Program Fees
As a non-profit organization, SPYBAS is reliant on our volunteers. In appreciation for their contributions, SPYBAS Board Members are eligible for a 50% discount on all program fees during the period of their service.
